Privacy Policy

What we collect, why we need it, and who else ever sees it.

This policy explains what Academyso collects about you, why we need it, and what we do with it. It covers our website, our apps and the support channels we run. Plain language, no small print.

What this policy covers

It applies to everyone who uses Academyso: guardians and students looking for a tutor, tutors looking for tuition, and visitors who only browse.

It does not cover what a tutor or a guardian does with information after we have introduced them. Once you exchange numbers and start a tuition, you are sharing directly with each other, and that part is between you.

What we collect

Only what the platform actually needs to work.

  • Account details — your name, phone number, email address, password and the role you signed up as
  • Profile details — for tutors, your education, subjects, experience, preferred areas, expected salary and photograph
  • Verification documents — national ID, academic certificates and references, so a guardian can trust who they are letting into their home
  • Tuition details — the requirements you post or apply to, including area, class, subjects, timing and salary
  • Letters and signatures — confirmation letters, the time each side signed, and any signature image you upload
  • Usage information — device, browser, approximate location from your IP address, and the pages you open, so we can keep the service running

We never ask for your bank password, card PIN or mobile wallet PIN. Nobody from Academyso will ever ask you for them either — if someone does, they are not us.

Why we use it

Every piece of information above earns its place by doing one of these jobs:

  • Matching a tuition requirement with tutors who can genuinely teach it
  • Verifying a tutor before their profile goes live
  • Issuing, displaying and storing confirmation letters
  • Sending you notifications about applications, hires, letters and payments
  • Answering your support messages and settling disputes
  • Spotting fraud, fake profiles and abuse
  • Understanding, in aggregate, which parts of the platform are actually used

Confirmation letters and signatures

When a hire is confirmed we create a Tuition Confirmation Letter. It sets out the tuition details for both sides, and each side signs it in the app.

The tutor and the guardian or student both see the whole letter, including the other side's signature and the time it was added. That visibility is the point of the document — it is what makes the agreement mutual rather than two separate promises.

If you upload a signature image, we store it with the letter and reproduce it on the PDF. We use it for nothing else. If you would rather not upload one, you can sign with the name on your account instead.

Signed letters are kept for as long as either side might need to rely on them, and for as long as record-keeping rules require — which outlasts the closing of an account. What the letter means in practice is set out in our Terms & Conditions.

Our admin team can open letters in order to support you and to void one that was issued in error. Every void records its reason on the letter, where both sides can read it.

Who else sees your information

We do not sell your information. We never have, and it is not part of how this business makes money. We share it in three situations:

  • With the other side of a tuition — when you apply, the guardian sees your profile; when a hire is confirmed, both sides get the contact details they need to arrange classes
  • With the providers who run parts of the platform for us — hosting, email and SMS delivery, payment processing — under contracts that limit them to that work
  • With the authorities, where the law requires it or where somebody's safety is at risk

Verification documents are never shown to other users. A guardian sees that a tutor is verified; they do not see the national ID behind the badge.

Payment information

Platform fees are handled by payment providers. Your card and wallet credentials go to them, not to us — we keep a record of the transaction, not of the instrument that paid it.

The monthly salary between a tutor and a guardian passes directly between the two of you, so we hold nothing about it beyond what you choose to record in your dashboard.

Cookies and analytics

We use cookies to keep you signed in, remember your language, and measure how the site is used. The sign-in ones are essential — without them the platform cannot tell who you are.

You can clear or block cookies in your browser. You will be signed out, and some things will stop working.

How long we keep it

Account and profile information stays while your account is open, and for a reasonable period after it closes, in case you come back or a dispute surfaces.

Signed confirmation letters and transaction records are kept longer, as described above.

Verification documents are deleted once they are no longer needed for the check they were submitted for, unless we are required to keep them.

How we protect it

Connections to Academyso are encrypted. Passwords are stored hashed, never in a form anyone can read back. Inside the company, access to personal data is limited to the people whose job requires it, and it is logged.

No system is perfectly safe. If a breach affects you, we will tell you what happened and what to do about it.

Your choices

The information is yours. You can:

  • See what we hold about you
  • Correct anything that is wrong — most of it you can edit yourself in settings
  • Ask us to delete your account, and the data we are not required to keep
  • Turn off marketing messages while keeping the ones about your own tuitions
  • Ask for a copy of your information in a portable form

Write to us and we will respond within a reasonable time. We may ask you to confirm who you are first — that check protects you, not us.

Students under 18

Accounts belong to adults. A student under 18 is represented by their guardian, who posts the requirement, signs the letter and controls the account.

We ask for as little as possible about a student — usually class, subjects and gender, because those affect matching. We do not build profiles of children, and we do not advertise to them.

Changes to this policy

When this policy changes, the date at the top changes with it. If a change actually affects you, we tell you in the app before it takes effect.
